HR Administrator Apprentice (UKRI) UK Research and Innovation

Hours: Monday to Friday. Flexible start times 9:00am - 5:00pm, 30 min lunch. Total hours per week: 37.00

ABOUT THE ROLE:

This is an exciting opportunity for an apprentice (level 2) to join a new and evolving HR team. Your main focus will be providing excellent administrative support across a range of duties to the HR People, Policy and Management team. You will work alongside up to two other HR Administrators and report to a HR Support Manager. The support you provide will contribute to the achievement of the team and organisational objectives.

This is an ideal role to begin a career in HR or in business administration. You will be given all the training and support required to perform to the best of your ability. You will also have the opportunity to develop your learning through other formal qualifications, for example you could study for a CIPD* Level 3 Foundation Certificate in HR Practice (*Chartered Institute of Personnel and Development). You will have plenty of opportunities throughout your apprenticeship to complete the required studies, learn new skills and develop your experience.

KEY RESPONSIBILITIES:

  • Assisting with the setting up of internal and external meetings, booking meeting rooms or venues and making catering arrangements
  • Preparing meeting papers including monitoring their receipt and collation, arranging printing where necessary, despatching agendas and papers to internal and external participants
  • Note and/or minute taking at HR related meetings
  • Monitoring e-mail correspondence to a dedicated e-mail box, responding to queries or allocating them to the relevant member of staff and monitoring replies
  • Receiving phone calls and either responding or passing to colleagues for action
  • Scanning and filing papers into the HR systems and helping manage the structures of the team information SharePoint site
  • Raising Purchase Orders and processing invoices via the Oracle system and liaising with the UK Shared Business Services (UK SBS) Finance team as necessary
  • Dealing with ad hoc queries/requests for information from colleagues and external sources, such as: benefit providers; occupational health providers; pension teams; recruitment and payroll
  • Assistance in the upkeep of policies and procedures and project related work
  • Undertake other tasks to support the PPM and wider HR and business goals on an ad hoc basis as instructed by the HR Support Manager

Desired skills

  • Experience of using Oracle, SharePoint or similar systems would be an advantage but training will be given
  • Interest in Human Resources/Administration
  • Experience of undertaking confidential work in a sensitive manner
  • Experience of working in a team environment

Personal qualities

  • Highly organised and able to prioritise and manage own workload
  • Good interpersonal and communication skills, both oral and written
  • Self-motivated, enthusiastic and flexible
  • General PC skills, including a good working knowledge of MS Office packages (i.e. Word, Excel, PowerPoint), email and use of the internet/extranet
  • Good attention to detail
  • Drive, determination and ability to work flexibly

Desired qualifications

Essential:

  • GCSE qualifications (or equivalent) at grade (4) or above in maths, English & ICT, or equivalent qualification
